The Importance of Maintaining a Credible Vendor Register in Project Management

Over time, as a Project Manager I have learned that one of the most underrated tools in project delivery is a credible vendor register.

A lot of people think it’s just a list of suppliers you’ve used before. But in reality, a good vendor register goes further, it includes:

Suppliers – provide materials, equipment, or products (e.g. tiles, fittings, cables).

Contractors – execute major work packages (e.g. MEP works, finishing, structure).

Subcontractors – handle specialized scopes under a main contractor (e.g. waterproofing, aluminium glazing, smart systems).

Service Providers / Consultants – professional or technical support (e.g. architects, QS firms, HSE consultants, surveyors, logistics, etc.).

...whom you’ve engaged, and those you’ve assessed or pre qualified for possible future work.

Sometimes, these are vendors who bid for a project but didn’t make the final cut, or firms you’ve discovered through research and background checks that meet your standards. Having them documented gives you options and saves you valuable time when new opportunities arise.

A well-managed register helps you:

Identify trusted and pre-vetted partners quickly.

Track performance, compliance, and credibility over time.

Maintain transparency and fairness in vendor selection.

Strengthen institutional memory across projects and teams.

It’s not just about record-keeping, it is about strategic readiness.

In project management, especially in construction and engineering, a credible vendor register isn’t just a file, it is foresight.
